What it is

The Discharge Tracker is a coming-next humblx module for the non-medical work a room needs after the doctor advises discharge. It will not be a medical discharge tool. It will track the room, not the patient. That will cover equipment removed by the nursing team, linen collected, maintenance checks on lights, fans, AC and taps, an inventory check for remotes, kettles and furniture, and housekeeping's terminal clean and inspection. Each team will get its task automatically and close it with a QR scan and photo, while the bed desk watches the room's status live. When the last step passes, admissions will be told the room is ready for the next patient.

The challenge

Once the doctor advises discharge, several teams have to work on the room before the next patient can come in. Nursing removes equipment, the linen team collects linen, maintenance checks lights, fans, AC and taps, the floor supervisor checks for missing remotes, kettles and furniture, and housekeeping does the terminal clean and inspection. Today this runs on WhatsApp groups and phone calls. Nobody can see which step is holding up the room, the bed desk keeps calling the floor, and a patient waits in emergency for a bed that is empty but not ready.

The humblx solution

The humblx Discharge Tracker will start the clock when discharge is advised, or when billing clearance and patient exit are recorded, and create each team's task automatically. Every step will close with a QR scan and photo proof, so the room's status will move from vacated to ready where everyone can see it. Late steps will escalate on their own, maintenance faults will become work orders, and the admissions or bed desk will be told the moment the room is ready. It will track the room, not the patient's medical discharge.

Key features

Automatic task creation

One discharge event will create tasks for nursing, linen, maintenance, the floor supervisor and housekeeping.

Live room status

Each room will move from vacated through equipment, linen, maintenance, inventory, cleaning and inspection to ready.

Step-wise escalation

Each step will have its own time limit; a late step will alert the team lead, then the manager.

Ready alert to the bed desk

Admissions and the bed desk will be told on the app or WhatsApp the moment inspection passes.

How it works

  1. 01

    Start the clock

The ward or bed desk will record "discharge advised", or the event will arrive from the HIS where connected. Hospitals will be able to start the clock at billing clearance and patient exit instead.

  2. 02

    Create the tasks

humblx will create a task for nursing, linen, maintenance, the floor supervisor and housekeeping, each with its own time limit, so every team will see the room coming.

  3. 03

    Mark the room vacated

When the patient and attendants leave, a scan at the room will mark it vacated, and work on the room will begin.

  4. 04

    Close each step

Each team will scan the room's QR code, complete its checklist and attach photos. Faults will become maintenance work orders, and missing items will be logged against the room.

  5. 05

    Clean and inspect

Housekeeping will do the terminal clean as a Housekeeping task. The supervisor will then inspect the room and either pass it or send it back.

  6. 06

    Escalate late steps

Any step past its time limit will alert the team lead, then the manager. The room will show which step it is waiting on.

  7. 07

    Mark it ready

Admissions and the bed desk will be notified on the app or WhatsApp. Discharge-to-ready time will be recorded, along with the time spent at each step.

What it is built to change

  1. 01

    One view of every room

The bed desk, nursing and support teams will see the same status instead of asking on WhatsApp.

  2. 02

    Delays you can pin down

Step-wise timings will show whether rooms are waiting on linen, maintenance, cleaning or inspection.

  3. 03

Rooms released without a phone call

The bed desk will hear the moment the last step is done, not when someone remembers to call.

  4. 04

    Rooms that are actually ready

Faults and missing items will be found before the next patient arrives, not after they complain.

How it connects to the live modules

It will run on the same locations, QR codes, staff, SLAs and dashboards your teams already use.

What we’ll measure

The measures this module is being built to report. We publish results only for modules that are live.

  • Discharge-to-ready time, from the chosen start event to "ready", by ward, room type and shift
  • Time spent at each step, and which step causes the most delay
  • Blocked-bed hours: time a vacated room is not yet ready
  • Rooms waiting at each step, at any moment
  • Late steps and escalations, by team
  • Rooms passing inspection first time, and rooms sent back to clean
  • Maintenance faults and missing items found per turnover

Tailored by sector

The same module, configured for how each type of facility actually runs.

Frequently asked questions

Does the Discharge Tracker handle medical discharge?

No. The medical discharge, the discharge summary and billing stay with your clinical team and HIS. The tracker will start once discharge is advised and cover the non-medical work on the room: equipment removal, linen, maintenance checks, the inventory check, the terminal clean and inspection.

What starts the clock?

Discharge advised, recorded by the ward or bed desk, or received from your HIS where it can share discharge events. Hospitals that prefer a later start will be able to begin when billing clearance and patient exit are recorded. Whichever you choose, discharge-to-ready time will be measured the same way for every room.

What happens if maintenance finds a fault during the check?

The technician will log it with a photo, and it will become a Facility Maintenance work order with its own SLA. The room will show as waiting on maintenance until the job is closed, so the bed desk knows why it isn't ready.

Can we estimate what slow room turnaround costs us today?

Yes. Our bed turnaround calculator uses your own discharges, turnaround times and revenue per bed-day to estimate the bed-days tied up between discharge and a ready bed. Our article on bed turnaround time explains where that time usually goes.
