Washroom Cleaning Checklist

This checklist covers routine washroom cleaning and inspection in offices and commercial buildings. Use it for the hourly or two-hourly rounds as well as the full clean at the start or end of each shift, so a washroom checked at 4 pm meets the same standard as one checked at 9 am.

How to run this checklist well

  • Replace the paper sheet on the washroom door with a QR scan: each visit gets a timestamp and photo, so a 'ghost entry' is easy to spot.
  • Let users report a problem through a QR code on the mirror; route it straight to the cleaner on duty with a response target.
  • Set round frequency by footfall, not by habit; a washroom next to a cafeteria often needs twice the rounds of one on a quiet floor.
  • Keep a small stock of consumables in or near each washroom so refills do not depend on a trip to the store.
  • Persistent odour usually means a dry floor trap, a hidden leak or poor ventilation; log it for engineering rather than adding more fragrance.

Frequently asked questions

How often should office washrooms be cleaned?

Busy office washrooms usually need a check every one to two hours during working time, with a full clean at least once per shift. Low-traffic washrooms can be checked less often. The right frequency depends on headcount, the number of fixtures and complaints; tracking issues raised by users is a reliable way to tune it.

What is the difference between cleaning and disinfecting a washroom?

Cleaning is the physical step: detergent, a cloth or brush and some effort to lift soil, scale and residue. Disinfection is the chemical step that follows, and it fails on a dirty surface because grime shields microbes from the product. So the order in a washroom is always wash, then apply disinfectant to flush levers, taps, seats and door handles, and leave it wet for the time printed on the label.

How do you stop fake entries on washroom cleaning logs?

Paper logs can be filled in without the work being done. Requiring a QR scan at the washroom, a timestamp and an after-cleaning photo makes each entry verifiable. Supervisors can then compare scan times against the schedule and check photos remotely, which discourages back-filled entries.

What should a washroom inspection include?

An inspection should check cleanliness of fixtures and floors, availability of soap and paper, working taps, flushes and dryers, odour, lighting, ventilation and any leaks or damage. Inspectors should record a pass or fail for each point and raise maintenance requests for defects rather than noting them only on paper.
