From Registers to Real-Time: Samir Dayal Singh at DHN City Meetup Kochi

At Digital Health News's City Meetup in Kochi on 27 June 2026, Samir Dayal Singh of humblx spoke to hospital leaders about the staff who keep a hospital running but rarely get software designed for them. His argument: until housekeeping, maintenance and service teams can log their work as they do it, management is running operations on guesswork.

Highlights from the talk

Curated lines from Samir's talk, lightly edited for readability. Press a time to play that moment.

  • Problem: frontline tooling gap

“All the workforce that is on the ground, they don't have any tools in their hand. So what they end up using is WhatsApp groups, notebooks, registers and checklists on paper.”
    00:30Samir Dayal Singh
  • Problem: WhatsApp is not a record

“There is a gap, which is being filled by WhatsApp. But WhatsApp is a communication tool. It's not a documentation tool. All this information is flowing like a river, and there is nothing you can do about it.”
    04:03Samir Dayal Singh
  • Patient experience: response speed

“The patient understands that there will be issues in the service. But how fast is the response, and whether somebody is listening or not: these are the things on which the patient judges the hospital.”
    01:47Samir Dayal Singh
  • Service recovery

“All this could have been real-time data to act upon. Before anything goes bad, before it goes on Google, things could have been fixed. A bad experience could have been converted into a great experience.”
    02:33Samir Dayal Singh
  • Idea: system of activity

“EMR, EHR and HIS have done a good job of being systems of record and systems of decision. But for the industry to transform, the next step is to become a system of activity, where ground staff work to the defined workflows and SOPs and keep logging what they do. This is the layer between the ground workforce and top management that is missing.”
    03:16Samir Dayal Singh
  • Before/after: QR and live-photo inspections

“We saw a paper checklist in the washroom, filled in all at once at the end of the day instead of at every hourly visit. So we put unique QR codes: live photos have to go, checklists have to be done.”
    04:46Samir Dayal Singh
  • Why mobile, not desktop

“I'm a plumber. I'll go and fix the issue, but I cannot keep walking five minutes to the computer after every job. I'll keep it in my notebook and enter it at the end of the day, or not at all.”
    06:31Samir Dayal Singh
  • Accountability without blame games

“As long as we don't have reliable data, the COO and everyone below cannot demand answers. They can't demand accountability, because there is no data to back the concern. … People report electrical and plumbing issues in the WhatsApp group, keep following up, and blame games happen. All these problems we solve in the system.”
    06:52Samir Dayal Singh
  • Adoption: hand-holding support

“No IT team will go and install the app on the phone of the housekeeping staff. They don't even have time to take calls. So you need hand-holding support for the blue-collar and grey-collar workforce. … We take care of your staff, so that there is no IT burden.”
    09:02Samir Dayal Singh
  • Integration across departments

“All these modules will be in one platform, and they will integrate and talk to each other, facilitating inter-department communication. Whenever there is a blame game within your team, whenever an MIS meeting is not fruitful, whenever there is an argument between departments, that is when you remember us.”
    11:29Samir Dayal Singh

In short

Hospital ground staff run on WhatsApp groups and paper registers because no system was built for them, Samir argued, so hospitals need a mobile "system of activity" alongside the HIS. At KIMSHEALTH, QR code inspections with live photo proof raised inspections 3.4× a year, and monthly patient feedback rose from about 500 in the paper register to 4,448.

Why do frontline teams still run on WhatsApp and paper?

  • Housekeeping, maintenance and security teams are large, often vendor-supplied, and much of their work must end up as NABH audit records.
  • With no tools in hand, they rely on paper registers and WhatsApp groups.
“WhatsApp is a communication tool. It's not a documentation tool.”
Samir Dayal Singh
  • On WhatsApp, reports get buried and arguments turn into a blame game; on paper, entries are made at day end, or not at all.

What does a patient actually judge a hospital on?

  • Patients accept that things go wrong; they judge "how fast is the response, and whether somebody is listening or not".
  • NPS arrives after the fact, while feedback asked at check-in, before discharge and after can be acted on during the stay.
  • At KIMSHEALTH, humblx's patient feedback management module has collected 83,275 responses since February 2024.

Systems of record, systems of decision, and a system of activity

  • Systems of record, such as the EMR, EHR and HIS, store what happened.
  • Systems of decision help management choose from that data; he said existing systems do both well.
  • A system of activity is the missing mobile layer in which ground staff log each task as they finish it, giving managers workload data and a basis for accountability.

What changed when inspections went digital at KIMSHEALTH?

  • humblx's first product, first set up at KIMSHEALTH in Trivandrum, put a QR code at each location: scan it, complete the checklist and take a live photo.
  • It replaced paper washroom checklists that were often completed at day end.

What do photo-backed records mean for vendor spend?

  • humblx's impact report records housekeeping vendor SLA delivery rising from 30% to 90%.
  • Paper verifies about 55–60% of housekeeping spend; photo-backed records in Housekeeping verify 90–95%.
  • On a ₹1 crore monthly contract, that brings about ₹30–40 lakh a month under audit: money already paid, now backed by records.

What did AVM Hospital report?

  • AVM Hospital in Tuticorin was Samir's most striking example: its management has told humblx that annual profit rose from about ₹2 crore to ₹7 crore after a few flat years, crediting better operations and quality management.
  • That is AVM management's own account, not a humblx result.
  • humblx's own record there: 82,600+ inspections with photo proof in ten months, 96.5% completed and 914 maintenance tickets tracked (AVM Hospital case study).

Who supports housekeeping staff once the software is live?

  • Core process software cannot be vibe-coded, Samir said, and the harder part is people.
  • Stretched hospital IT teams cannot hand-hold blue- and grey-collar staff, so he sees that as the vendor's job.
  • humblx's four live modules share one platform: Housekeeping, Facility Maintenance, Desk Management and Feedback Management.
  • Incident Management, Discharge Tracker, Porter, Energy & Utilities and Asset Management, which he also listed, are coming next and not yet available.

Frequently asked questions

When and where was DHN City Meetup Kochi 2026 held?

Digital Health News held it on 27 June 2026 at the Radisson Blu, Ernakulam, with a CXO round table and a solution showcase. humblx was an event partner, and Samir Dayal Singh spoke in the showcase.

What is a "system of activity" in hospital operations?

Samir Dayal Singh's term for the missing mobile layer, next to the EMR, EHR and HIS, in which ground staff log each task as they finish it.

How do QR code inspections work in hospital housekeeping?

The supervisor scans the area's QR code, completes the checklist and takes a live photo, so each inspection has photo proof, a place and a time. At KIMSHEALTH, inspections rose 3.4× a year.

Why shouldn't hospital operations run on WhatsApp groups?

As Samir put it, WhatsApp is a communication tool, not a documentation tool: reports get buried and response times cannot be measured.
